Privacy Policy

Last updated: September 28, 2026

TapMinutes records meetings and turns recordings, supported imports, and transcripts into structured minutes and detailed notes. This policy explains what stays on your device, what may sync through your personal iCloud account, and what is processed when you choose cloud-powered features.

Who we are

TapMinutes is operated by Abraham Ochoa. Contact us at [email protected].

Information stored on your device

Recordings and meeting information are stored on your device. This can include audio, transcripts, minutes, notes, meeting titles, folders, tags, bookmarks, presets, and related settings.

When TapMinutes uses supported on-device transcription, audio processing for transcription stays on the device. Not every TapMinutes feature is on-device: premium cloud transcription and AI generation use cloud processing as described below.

Personal iCloud synchronization

If you enable iCloud for TapMinutes, meeting information may sync across supported Apple devices through your personal iCloud account. TapMinutes does not have direct access to content stored in your personal iCloud account. Apple's handling of iCloud data is governed by Apple's terms and privacy policy.

Cloud transcription and AI generation

Premium cloud transcription sends the audio needed to fulfill your transcription request. AI generation may send transcript text and the style instructions you selected to generate minutes, notes, or regenerated content. TapMinutes provides the required disclosure and consent before applicable cloud processing.

If an imported media file contains a meaningful embedded caption or transcript track and you choose to reuse it, TapMinutes can use that text instead of requesting a fresh audio transcription. If you choose audio transcription, the selected transcription route applies.

Information processed for cloud requests

Depending on the feature you choose, TapMinutes may process:

TapMinutes does not collect your name, email address, contacts, location, health data, financial information, advertising identifiers, or analytics.

Service providers

Cloud requests go through the TapMinutes Cloudflare proxy and use OpenAI's API for transcription and generation. The API key is not embedded in the app. Cloudflare and OpenAI process the content needed to provide the requested service.

Under OpenAI's API data policy, content submitted through the API is not used to train OpenAI models.

How information is used

Audio, transcript text, imported text, and instructions are used to provide the transcription, minutes, notes, regeneration, and related features you request. We do not sell this information, share it with advertisers, or use it to train AI models.

Retention

Audio and text sent for cloud processing are processed to return the requested result and are not retained on TapMinutes servers after processing. Service-provider retention may be governed by the providers' applicable API terms and policies. Logs may contain anonymized usage counts, such as minutes or meetings used by a device, for rate limiting and abuse prevention. These logs may be retained for up to 30 days.

Your choices

You choose whether to enable iCloud and whether to use available cloud-powered features. You can delete individual meetings in TapMinutes, disable TapMinutes iCloud access in Apple settings, or delete the app and its local data. Content already synced to iCloud may remain there until you remove it through your Apple Account or device settings.

For privacy questions or deletion requests concerning the TapMinutes service, email [email protected].

Children

TapMinutes is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

Changes

If this policy changes materially, we will update the date above. Continued use of TapMinutes after an update means the revised policy applies to your use.
