TapMinutes Privacy Policy

TapMinutes is a meeting-recording app that turns your recordings into structured minutes. We've designed it to collect as little personal information as possible. This policy explains what we collect, why, and how it's handled.

What we collect

When you generate minutes for a recording, the following data leaves your device and is processed by our servers:

• Audio recordings. The audio file of your meeting is sent to our server for transcription.
• Transcripts and prompts. The transcribed text of your meeting and any custom style instructions you type are sent to our server to generate the written minutes.
• Anonymous device identifier. A random ID is generated on your device the first time you open the app. We use it to enforce free-tier usage limits and prevent abuse. It is not linked to your name, email, Apple ID, or any other identifying information.

We do not collect your name, email address, contacts, location, photos, health data, financial information, advertising identifiers, or any analytics.

How we use this data

The audio and transcripts you send us are used only to generate the meeting minutes you requested. We do not use them to train AI models, sell them, share them with advertisers, or analyze them for any other purpose.

Subprocessors

To generate transcripts and minutes, we route requests through a Cloudflare Worker, which forwards them to OpenAI's API. OpenAI processes the audio and text and returns results to us, which we return to your device. Per OpenAI's API policy, content submitted via the API is not used to train their models.

Live captions

The live captions shown on screen while you record are generated entirely on your device using Apple's on-device Speech framework. That text is never sent to our servers.

On-device storage and iCloud

Your recordings, transcripts, and generated minutes are stored on your device. If you have iCloud enabled, they may also sync to your personal iCloud account. We do not have access to your iCloud data — that is between you and Apple.

Retention

Audio files and transcripts are processed in real time and are not retained on our servers after the response is returned. Logs may contain anonymized usage counts (e.g., minutes used per device per day) for rate limiting, retained for up to 30 days.

Your rights

You can delete all data associated with your installation at any time by deleting the app from your device. If you would like us to confirm deletion or have questions about your data, contact [email protected].

Children

TapMinutes is not directed to children under 13 and we do not knowingly collect data from children.

Changes to this policy

If we change this policy materially, we will update the "Last updated" date above. Continued use of the app after changes constitutes acceptance.
